To Create a Distribution Item Using a Form

  1. Expand the Distribution Items topic.
  2. Click the New link at the top of the topic.

    A new Distribution Item form opens in the Content pane.

  3. Fill out the form as needed. The following fields are required: Order Number, Issue To, Distribution Address, Reason, Document, Copy Type

    Order Number This number is already populated from the parent distribution order and is therefore a Read-only field.
    Issue To Enter the person code which will return the person’s full name, or use the search icon to find the appropriate person, and then drag and drop the person from the results pane to this data field.
    Distribution Address Select a related directory type entry (inherited from a related organization or person) for the person specified in the Issue To field.
    Date Required Optional tracking date to identify the date on which the document is required. Type in date or select it from the Calendar display using the drop-down icon.
    Anticipated Return Date Optional tracking date to identify the date on which the document is expected to be returned to the issuer. Type in date or select it from the Calendar display using the drop-down icon.
    Reason The purpose for the formal transmittal of document copies must be recorded. Certain reasons will check the Notify field for change notification (if the list value has its Notify check box set). This list is user-definable. For more information, see Maintaining List Values.
    Owner Project A project that is associated with the distribution item.
    Notify This check box can be manually set or set by the chosen Reason. This will enable AssetWise to send a change notification to the holder of the document under change.
    Document Enter the document number which will return the document title in the Document Title field, or use the search icon to find the appropriate document and drag and drop the document from the results pane to this data field.
    Document Title A read-only field that displays the full title of the chosen document for distribution to the person displayed above.
    Copy Type Use the drop-down box icon to select the type of copy to be distributed or created during the distribution process. Only a Master or a Copy type can be distributed. No Secondary Masters can be distributed.
    Copy Number If copies of the selected document already exist (with the status = Available) then a particular copy number can be selected using the drop-down box icon.
    Date to Return Optional tracking date to identify the date on which the document must be returned to the issuer. Type in date or select it from the Calendar display using the drop-down icon.
    Status This Read-only field displays the current status for each line item, for example if copy creation is required.
    Possible Conflict This Read-only field displays any schedule conflict when the same document is requested at the same time.
  4. Click the Add icon in the action bar.

    The distribution item is created. The Order Number field contents displays in tab form at the top of the Content pane.

    Note: To view each item detail in turn, double-click the row in the Distribution Items topic. To remove an item from the distribution order, click its Delete icon (X).
